Dear FOI Officer,
I am writing to request information under the Freedom of Information Act 2000.
Please provide the following information regarding the use of Computerized Maintenance Management Systems (CMMS) by your Fire and Rescue Service:
- Does your service currently use a CMMS or asset management system (AMS) to manage/track assets, PPE, maintenance schedules, or facilities, log defects and complete kit traceability?
- If yes, please provide:
- The name(s) of the platform(s) in use (if removed CMMS please state)
- The primary functions used (e.g., equipment maintenance, vehicle tracking, PPE issue, facilities management)
- The start date, duration and terms of any current contracts or licenses
- The number of users on the system
- Annual costs related to the CMMS over the last three financial years
- Any internal documentation, policy, or standard operating procedures related to the use of the CMMS
- Which framework do you currently procure via?
- If no CMMS is in use, a simple confirmation of that would be appreciated.

Good Morning,
We thank you for your request for information, which has been received by Hereford and Worcester Fire and Rescue Service (the Service) and considered under the Freedom of Information Act (FOIA) 2000.
The Service can confirm that the information that you have requested is partially held and is detailed below:
The Service has a Service Level Agreement for Property and Facilities management with West Mercia Police and Crime Commissioner’s Office.
Operational Equipment:
- The name(s) of the platform(s) in use (if removed CMMS please state).
Redkite Equipment Management System.
- The primary functions used (e.g., equipment maintenance, vehicle tracking, PPE issue, facilities management).
Operational Equipment maintenance.
- The start date, duration and terms of any current contracts or licenses.
November 2023. The initial term is for 3 years.
- The number of users on the system.
Approximately 600.
- Annual costs related to the CMMS over the last three financial years:
2025-26 – £9,000. 2024-25 – £9,000. 2023-24 – £9,000.
- Any internal documentation, policy, or standard operating procedures related to the use of the CMMS
No
- Equipment Safety Files for each type of equipment outline maintenance and testing requirements.
There are no documents specifically on the use of the Equipment Management System.
Which framework do you currently procure via?
Not applicable.
Fleet Management:
- The name(s) of the platform(s) in use (if removed CMMS please state)
Tranman.
- The primary functions used (e.g., equipment maintenance, vehicle tracking, PPE issue, facilities management)
Fleet maintenance.
- The start date, duration and terms of any current contracts or licenses.
Current licence extends until July 2026.
- The number of users on the system.

2025-26 £11,000, 2024-25 £10,000, 2023-24 £9,000.
- Any internal documentation, policy, or standard operating procedures related to the use of the CMMS.
Not held.
